What is the Shared Care Record?
The Shared Care Record is a digital record system that aims to improve care by joining up information which is currently held in separate patient databases by health and social care services across Cambridgeshire and Peterborough. It will enable clinicians, admin staff and social care professionals to access a summary view of a person’s health and social care record in one place.
The Shared Care Record will provide:
- A read-only summary view of data already held elsewhere
- Access to multiple records in one place
- Better co-ordinated and seamless care
- Quicker diagnosis and treatment
- More time to spend on clinical care
- Less paperwork and avoidance of repetition
- Fewer unnecessary clinical tests
- More accurate prescriptions
- Better health and social care planning
The Shared Care Record will make sharing information across services within our region easier. Being part of a simple, consistent approach that works across boundaries will bring significant benefits. It will help to improve the care and support provided as well as reduce the time spent on administration to co-ordinate care across our different services. Having the Shared Care Record in place will allow us to make the most of the technology we already have and bring benefits to users and the people who access our services whilst we continue to invest in digital services.

Who is involved?
The Integrated Care System’s (ICS) health and care partners involved in Shared Care Record for Cambridgeshire and Peterborough are listed below:
- 87 general practices, grouped into 22 Primary Care Networks
- Cambridge University Hospitals NHS Foundation Trust
- Cambridgeshire and Peterborough NHS Foundation Trust (CPFT)
- Cambridgeshire Community Service NHS Trust (CCS)
- Cambridgeshire County Council (CCC)
- NHS Cambridgeshire and Peterborough (the local Integrated Care Board, ICB)
- North West Anglia NHS Foundation Trust (NWAFT)
- Peterborough City Council (PCC)
- Royal Papworth Hospital NHS Foundation Trust (RPH)
How is the project being delivered?
How is the project being delivered?
The Shared Care Record is being delivered by an ICS digital team in two phases to support clinical decision making. Each partner organisation will decide what they want to share and what data they can technically share. This data/information, held in existing digital records, will be pulled into this new system, and then made available for staff to access in a centralised, read-only, summary view to support the delivery of direct care. It should be noted that the Shared Care Record is not a person’s full medical record.
Phase 1 – live from 16 May 2023
Our partners took a phased approach to going live with users from 16 May 2023. Information (data) was made available to users from existing records in National Services, Primary Care (GPs), Mental Health and Community Health Services across our area.
Phase 2 – In progress
Phase 2 will see additional data released into the Shared Care Record from our partners across the ICS area. A delivery programme for each individual partner organisation is underway and information from each partner will become available from their date of connection to the Shared Care Record. This additional data will be displayed in sections in chronological order from the date of connection.
March 2024 Release of Data:
North West Anglia Foundation Trust will be the first of our eight partners to go live with Phase 2 data. After a period of robust testing, data will be released into the Shared Care Record from records held by NWAFT for Encounters. From March 2024 users with access will be able to see information relating to:
- Inpatient and outpatient appointments
- Waiting lists
- Booking information
This represents a key milestone moment in our delivery of this new system and will provide partners across our ICS area with access to NWAFT data for the first time.
My Care Record
Our Sharing Framework – all ICS partner organisations have signed up to the ‘My Care Record’ information sharing framework which describes our commitments to sharing information legally, safely, and responsibly. This framework also dictates the conditions under which we can share information for the purpose of providing care.

Objecting to Share: GDPR (General Data Protection Regulations) provides the legal basis to share information between health and social care services when it is needed to deliver direct care. Within this, there is a requirement to be transparent with the public about how information is shared. Any individual who has a health or social care record is allowed to object to their data being shared in this way.
Members of the public can object to their records and information being shared between health and social care partners in the Cambridgeshire and Peterborough Integrated Care Services (ICS) area via My Care Record.
However, it is important that anyone thinking of objecting to share their information first considers the following points before reaching a decision:
- Not allowing access to health and social care records may affect the care a person can receive when they need it.
- Only health and social care professionals (clinical and non-clinical) delivering direct care are allowed to access people’s information. They will need to see a person’s history and records to be able to provide the best quality care they can.
- If health and social care professionals cannot access the records and information they need, they will have to ask for that information either by contacting the relevant health service direct or asking their patient. This may result in delays in the provision of care.
It is also important to remember there may be occasions when an objection to share may not be upheld. For example, if it is in the public interest for information to still be shared. This may be when there is a safeguarding issue or when an individual may be at risk of harming themselves or other people.

Resources
The Shared Care Record brand and logo is used for all internal communications to staff across the Cambridgeshire and Peterborough ICS area. The Shared Care Record can be described as the technology, or single system that will securely join up information and data currently held in separate records.
The My Care Record brand and logo is used for all public facing communications. My Care Record is an approach to improving care by joining up health and social care information and data. My Care Record is not the technology or the system - it supports providers to use technology such as shared care records to join-up information securely.
Communications Materials:
There is a range of communications materials and social media assets available for ICS staff and partners to access and use to support the delivery, implementation, and use of the Shared Care Record. These materials and assets can be used to support and strengthen campaign messages and include summary information in different languages.

The Future
We continue to work on solutions for the future expansion of the system and to pull in and make available information from a range of related health and care organisations. As an example, Cambridgeshire Community Services Dental Team has already proactively approached us to get access to the Shared Care Record.
The Dental Service clinical team identified the following information as being beneficial to them for the purpose of administrating and treating people who need their special care dentistry services.
This information is often difficult to get directly from the patient:
- Current medication list
- Medical history
- Ongoing medical conditions
- Allergies
Dental Service users will be able to access information in the Shared Care Record when Phase 2 is live.
